Narrative Description

You are the systems analyst at Elevate University. Based on recent assessment and recommendations provided by an external analyst, The University has moved to a new online registration system. However, the University’s management is not sure if the transition to the new system is working as intended. You have been called to document the unit registration system. To assist with your documentation, you have been given the following narrative describing the new system. 

In new unit registrations, all students must complete an online registration request form. The student must send their registration request to the unit registration system.

Upon receiving the student’s registration request, the system checks the accounts receivable subsystem to ensure that no fees are owed. Next, for each unit, the system checks the student transcript to ensure that the student has completed the unit prerequisites. Then the system checks class availability and, if there is availability, the system adds the student’s ID number to the class list.

Immediately after the student submits their registration request, the system generates an auto reply to the student stating that their request was successfully submitted and is under consideration. Within two (2) days, the system generates feedback report to the student. The report back to the student shows the result of their registration request: If the student owes fees, a bill is sent, and the registration is rejected. If prerequisites for a unit are not fulfilled, the student is notified, and that unit is not registered. If the class is full, the student request is annotated with “course closed.” If a student is accepted into a class, then the day, time, and room are shown next to the unit number. Student fees and total tuition are computed and shown on the report. Student fee data is interfaced to the accounts receivable subsystem. When registration is complete, course enrollment reports are prepared for the instructors.

The University’s unit registration system has four essential data files which contain financial data, student records and class information.

Specific Requirements

You are required to prepare a Data Flow Diagram (DFD) and Program Flowchart showing the course registration system at Elevate University. The specific requirements of this assessment are listed below.

a. Prepare an Entity-Activity Table based on the above course registration system narrative at Elevate University.

• In the Entity-Activity Table, you are required to list all the key activities as they occur in the narrative. In addition, please identify all the data sources and destinations in the narrative. Further, the table must show all the sub-processes in the narrative.

b. Using the Entity-Activity Table in (a) above, prepare a context diagram to document the course registration system at Elevate University.

• The context diagram should show key boundaries of the system such as data sources, data destinations, data flows and the system being documented.

c. Explode the context diagram in (b) above to prepare a Level 0 DFD for the course registration system at Elevate University.

• Please ensure that your Level 0 diagram presents all the sub-processes logically. In addition, please identify the data sources, destinations, data flows, and data stores.

d. Prepare a program flowchart to show university management how the new system works, and the processes involved.

e. Describe in which specific ways the documentation tools you have prepared complement each other and how they collectively assist unfamiliar users better understand the registration system.

• Please use specific examples based on the system you have documented when describing how the documentation tools complement each other.

As this report is addressed to senior university management, it must be presented in a professional format. Please use Lucidchart or similar tool (e.g., Visio) to increase readability of the diagrams.
