Background

You work as an Administrative Assistant to Mr. Albertson. You are responsible for maintaining the supply cabinet and taking note of employee attendance. You have noticed that some supplies are diminishing at a rate more quickly than seems reasonable. You suspect that they are being taken for personal use. Additionally, you have also noticed that some of the staff are consistently arriving to work 10 minutes late or are using work time for other purposes. They appear to feel that their lateness does not matter. You know that lateness causes a loss of revenue for a company when an employee is being paid for a full day and is consistently showing up late, meaning they are being paid to not work during the time they are not yet in the office.

You mention your findings to Mr. Albertson and he becomes upset regarding the theft and time wasters. You notice that he is reacting more strongly than usual, suspecting that he is experience stress and anger which is making it difficult for him to control his reactions and behaviour at work. He wants you to prepare data and communications to send to his employees on his behalf telling notifying him he knows they are stealing and showing up late for work. He wants you to send out all of the data with the email. He sends you an email draft he prepared that he wants you to send to his staff but you are not comfortable sending the email as it is worded inappropriately, and you know that some of the data is too confidential to send to all staff. As Mr. Albertson’s Administrative Assistant, you have access to a multitude of confidential and highly sensitive information regarding his staff.

Project Instructions

Since the Administrative Procedures course is a culmination of all that you have learned in the BAA program so far, you will need to use skills and knowledge gained in other courses to help you complete this task. Refer back to what you learned regarding business documents and communication in Microsoft Office for Business 1 and 2, as well as what you learned in Microsoft Excel, in addition to the skills and knowledge you are currently gaining in the Administrative Procedures course. 

1. Locate the data files in the Assignments tab

2. Create an Excel workbook, enter the data provided in the data files, and complete calculations to see how much the employee theft of supplies and lateness will cost this fictitious company of 30 employees over the duration of one week, 6 months, and 1 year. Analyze the data using tools in Excel to highlight key information and draw comparisons between the data. Use your judgement to remove or censor confidential or sensitive information you feel is not pertinent for the task. The Excel document is only intended for Mr. Albertson’s eyes but you are feeling a bit untrusting of his ability to keep information confidential given his mood today.

3. Prepare an unbound report that summarizes the data you found in a professional and ethical manner. This report will be sent to all staff. Confidential information must not appear in the report, but Mr. Albertson still needs staff to understand the loss of money in the company due to theft and time wasters.

4. Edit the email (data file) Mr. Albertson provided to ensure that it is re-worded appropriately to send to all staff. You want to make sure the email sent by you on behalf of Mr Albertson is professional, polite, and sends a clear message that does not scare or intimidate employees.

5. Send an email to Mr. Albertson with the report, Excel file, and the email that will be sent to all staff. In the email, explain the data you found and analyzed, and explain in a tactful way that you took it upon yourself to edit the email he drafted.
