I have an important task for you.

CBSA is currently experiencing issues around sharing of data and collaborative decision making. To help us achieve our strategic goals in these areas, I would like you to develop a cloud-based knowledge and information system. The purpose of this system is to provide staff with access to live data so they can make better informed business decisions. We are hoping that having a functional system and process in place will allow us to understand and solve a number of our current issues.

I would like you design, test and develop this system using Google Drive. The system should be built around four business metrics: brand awareness, sustainability, governance and customer satisfaction. I have provided the latest data analysis around these metrics in an attached Quarter 1 summary. I have also provided the Decision-Making System Process that I would like you to use for solving business issues using the system. This will be used throughout the process.

The new system should also allow for only specific users to be able to access and modify the data so that it can be secured against misuse.

TASK

Based on the email and its attachments, complete the following tasks:

1. Review business data and report on issues.

Analyse the data detailed in the ‘Quarter 1 Results’ document to identify and define what issues the organisation is having. Then using a word processor, create a report that:

Provides analysis for each of the four-business metrics based on the business data. The analysis should include text and visual components such as tables or charts (pie charts, bar charts, etc) to better present your analysis

Identification of any issues the organisation is having for any of the four-business metrics. You should identify one business problem for each business metric (four in total)

2. Design information system. 

Based on your analysis and identification of issues from the previous task, design a system in Google Drive that will:

Provides a folder system where users will be able to easily navigate to find information and data for each business metric, including a summary of analysis for those metrics.

To ensure that the organisation’s Privacy Policy & Procedures and Confidentiality Policy are adhered to, you need to secure the system so access to information is only given to people who require that access. To implement this security, you should provide access to the specific folder system for each of the following staff members for each metric:

Note: you will need to sign up for a Gmail account (https://www.google.com/gmail/) if you don’t have one to be able to access a 15GB free Google Drive storage space. Once you have a Gmail account (or if you already have one) you can access Google Drive at https://drive.google.com/drive/my-drive. If you are already using Google Drive to store files, create a folder called “CBSA” and place your system within this folder.

Also, remember that the email accounts are not for real people in this scenario, so ensure that you ‘Send an invitation’ to that person so that the assessor can check that the folder has been shared correctly.

3. Upload information

For each of the folders in your information system you need to:

Upload a document (word processor or PDF) that contains the raw data for each business metric to its particular folder. For the purpose of this activity ensure that you include the current year in the title of the document and that the results are for Q1.

Note: you should be uploading eight documents; four contain the raw data for each metric, and four contain the analysis for each metric. You should refer to the attached Quarterly Business Data document for the raw data and your report from Task 1 for your analysis.

4. Test information system.

To test the system, give access to the assessor by sharing all folders within your information system with them. They can then confirm whether you have constructed the system appropriately and provided sharing to the correct people.
